Reduced Paper, Streamlines Processes
RSC has implemented ImageNow, a document storage and workflow system, to decrease the amount of printed paper and manage systems more efficiently for Accounts Receivable (AR), Accounts Payable (AP), Human Resources (HR), Accounting, Real Estate, Marketing and Legal. Here are a few ways that ImageNow helps facilitate process workflows:
- More than 45 people in AR use ImageNow to establish >>tax forms, maintain change of address information and any other document needs for new customers.
- In lieu of faxing endless documents, AP >>now emails invoices and boomerang receipts to notify branch managers of any discrepancies.
- ImageNow is a way for district managers >>and controllers to communicate with their locations and be on top of issues.
- Marketing and Legal utilize ImageNow for >>invoice approval and document storage.
- HR and Payroll use the system for personnel >>documents.
Saving Time and Money
The savings in ImageNow are reflected in the reduction in paper and toner, and more efficient processes for users. For example, before ImageNow it would take four people all day to gather, copy and fax hundreds of documents to auditors. With ImageNow this information can be pulled by one person in 20 to 30 minutes.
With ImageNow, no longer is there a concern that personal credit card information on boomerang receipts will fall into the wrong hands. This also leads to a reduction in FedEx pick-ups, resulting in additional cost savings.
In 2007, AP and AR’s combined incoming faxes totaled 20,000 monthly which would have resulted in printing over 240,000 for the year. In addition to this, AP would have sent approximately 169,669 invoices to locations for problem resolution. Today, by using ImageNow to email these invoices we are saving a significant amount of paper and man-hours.
